University of Oregon Diplomas

Diplomas are mailed approximately six to eight weeks after your graduation date. For example, if you graduate in June (at the end of Spring term), you can expect to receive your diploma around the end of July or the middle of August. Diplomas are produced by an off-campus commercial printer and mailed via first class mail to the address designated as your permanent residence or to your diploma mailing address.

University of Oregon diplomas include the following:

  • the University of Oregon school seal
  • the college or colleges from which you are graduating
  • the name you have chosen to appear on your diploma when you apply for graduation
  • honors you have earned
  • the signatures of the president of the University, the dean(s) of your college(s), the President of the Board, and the Chancellor of the Oregon University System.

If you choose to attend the graduation ceremony, you will receive a diploma cover at that time. If you do not attend the ceremony, you can order a diploma cover through the University Bookstore by calling the mail order department at 1-800-352-1733.

Replacement Diplomas

A replacement diploma may be ordered from the Office of the Registrar in situations where the original diploma has been lost or damaged. If a replacement diploma is required due to the condition of the original diploma or if the student wishes to have their current name printed on the diploma, the original diploma must first be surrendered to the Office of the Registrar before a replacement can be ordered. The cost for ordering a replacement diploma is $50.00 per diploma.

The diploma will be reissued in the format currently used but will bear the signatures of the University officers in place when the student graduated. Replacement diplomas normally require one to two weeks from the date the request is received to process. Students will be notified via email when the diploma has been mailed.

The name on the diploma must be identical to the name currently on the student’s official academic record. A student may change the name on their academic record by submitting a Name Change Request. The cost for ordering a replacement diploma is $50.00 per diploma.

University of Oregon policy requires that all requests for diploma replacements be submitted in writing and signed by the person to whom the record belongs.

Notarized/Certified Copy of Diploma/Transcript

A notarized copy of a diploma is a quality copy of the original that has been authenticated and notarized by the Office of the Registrar. Upon written request, The Registrar’s Office will notarize a certified original transcript or certified copy of a diploma. Requests are processed within three to five business days. A $10.00 special service fee is required for each notarized/certified document.

How to Complete the "Request for a Notarized/Certified Copy of Diploma" Form

The Request for a Notarized Copy of a Transcript or a Notarized/Certified Diploma form is divided into two parts. Most students need only complete Part 1.

After completing Part 1 of the signed form, you may mail, fax or hand deliver it (see below for more details). If you are requesting a certified copy of your diploma, you must include a good photocopy of the original diploma.

Apostille or Authentication

In some situations students may be required to provide an Apostille or Authentication along with the notarized transcript or diploma. Foreign Jurisdictions often require them before they will accept the notarized document.

If this applies to you and you need an Apostille or Authentication, you must complete Part 1 and Part 2 of the form, in addition to completing an “Authentication Application" form obtained from the Oregon Secretary of State website (direct PDF download). Please indicate on the form which document(s) you need to have the Apostille or Authentication attached. For example; "diploma only" or "diploma and transcript". Mail, Fax, or hand deliver the signed forms (including a good photocopy of the original diploma, if you are requesting a notarized/certified copy of your diploma).

If you do not have your original diploma, you may order a replacement diploma. The cost is $50. (See Replacement Diplomas.) Return the notarization form (along with the "Authentication Application form" obtained from the Oregon Secretary of State website (direct PDF download) with the replacement diploma order form. The Oregon Secretary of State asks that you send a self-addressed stamped envelope ("SASE") or prepaid air bill to for the returned documents.
