Processes for Inspecting and Reviewing Educational Records

We want you to understand your rights and how you can receive the support guaranteed by FERPA. While the guidance we provide is required by law, we want all students to better understand what to expect when they wish to inspect and request amendments to their educational records.

How to Inspect and Review Your Records

  • Write to the Office of the Registrar to request access to your education records. Your request must include:
    1. Full Name
    2. UO ID number
    3. The specific education records requested
    4. Current email address
    5. Physical address
    6. Signature and date
  • The request must be mailed, faxed, or emailed to the Office of the Registrar.

      Email requests must include an attached PDF with your valid signature.
  • The university will acknowledge the receipt of requests by email.
  • The Office of the Registrar will gather relevant education records within forty-five days starting the day after receiving the request.
    • During this time, the Office of the Registrar will review your education records and may redact information to comply with FERPA.
    • If you request to inspect additional education records when your initial request is pending, we may need additional time (up to forty-five days) for processing.
  • The student will be notified when their records are ready for inspection. The notification will include the dates and times the records are available on the UO's main campus or other campus location determined by the registrar.
  • If students do not attend during the time assigned in the notification, the request will be closed and the student must make a new request to inspect their records.

What to Expect on the Day of Inspection

  • You must check in with valid photo identification (UO ID card, valid driver's license, valid passport, or another form of government-issued identification) at the Office of the Registrar's reception area at the designated time.
  • You may have one advisor present during the inspection, provided that the advisor’s schedule does not unreasonably delay the inspection. 
    • The University Registrar shall determine what constitutes an "unreasonable" delay. 
    • If you bring an advisor, you must sign a FERPA consent form to give permission for the advisor to review your record.
  • You will have a reasonable time (generally one hour) to inspect your records with the registrar or designee present. Depending on the number of records requested, the registrar may give more time for inspection.
  • You may not make copies or photographs of the records.
  • If circumstances prevent you from reviewing records in-person at the Office of the Registrar, the university will make arrangements to support your right to inspect your education records. All alternative arrangements will be communicated by the registrar.
  • After the inspection, the registrar will create an inspection record and add it to your education record. The inspection record will include the initial request, the date and time of the inspection, a general description of the records inspected, and the name and signed consent form of the advisor if one is present.

How to Request an Amendment of Education Records

After you have reviewed your education records, you have a right to request an amendment to your records.

  • In writing, submit a request which identifies the records you want amended and the specific reasons why you believe them to be inaccurate. If your request does not include the required information, your request will be considered incomplete and will not be considered.
  • Within thirty business days of receiving a completed request for an amendment of education records, the university will determine if the proposed correction is accepted or rejected. The Office of the Registrar will notify you of the decision. If the decision is negative, you will receive information about your right for a hearing.
  • FERPA only requires the university to consider requests to amend information in education records that is inaccurately recorded, misleading, or in violation of a student's privacy rights.
    • Requests for amendments such as a grade change, removal of materials such as received evaluations, or the outcome in a student conduct proceeding are not covered under the FERPA amendment process.
